Your data, protected
This policy explains what AR Football Development collects about players and parents, how it's used to deliver coaching, who it's shared with, and the rights you have over it. Last updated October 2026.
Who we are
- 01AR Football Development is a football coaching business based in Newcastle upon Tyne, delivering 1-2-1 and small group training, development phases and player assessments.
- 02We are the data controller for the personal information described in this policy. You can reach us any time through the contact page on this website.
What we collect
- 01Player details from the intake form: name, email, phone, date of birth, playing position, school or club, previous experience and your development goals.
- 02Medical and welfare information you choose to share: previous injuries, allergies or dietary needs, additional needs, and your emergency contact details.
- 03Booking and account details: the sessions you book, your communication preferences and the messages you send us.
- 04Payment details are processed securely by Stripe — we never see or store your card number.
- 05Development data: coach progress notes, graded assessment scores, attendance, training plans, session reflections, and any milestone certificates earned.
- 06Photos and video clips from sessions, only where you have given separate photo and video consent.
- 07Parent and guardian details, where you ask us to link a parent to a player's portal access.
How we use it
- 01To deliver safe, effective coaching: planning sessions around each player's position, goals, medical needs and stage of development.
- 02To schedule, confirm and remind you about bookings, and to share confirmed details with linked parents.
- 03To track progress over time and share graded development insight with you and your linked parents.
- 04To process payments, issue invoices and manage memberships and 5-session blocks.
- 05To send club updates and marketing — only where you have ticked the marketing consent box. You can withdraw that consent at any time.
Our lawful basis
- 01Contract: processing needed to deliver the coaching you book and pay for.
- 02Consent: photos and video, marketing emails, and the medical information you share with us for player welfare.
- 03Legitimate interests: running and improving our coaching service, and keeping records of player development.
- 04Legal obligation: safeguarding and coaching qualification records we are required to hold.
How we protect it
- 01Data is stored on the platform's encrypted infrastructure and accessed only by the coaching team through role-based permissions.
- 02The coach's written session notes stay private to the coaching team — parents only ever see graded scores and summaries.
- 03Signed documents, reports and media clips are stored privately and shared with you through expiring links.
- 04We keep medical and emergency contact information up to date by asking you to confirm it each season.
Who we share it with
- 01We never sell your data, and we don't share it for advertising.
- 02Service providers who help us operate: Stripe for payments, Google Workspace for calendar invites, invoices and development documents, and the platform that hosts this site and portal. Each processes data only on our instructions under their own privacy terms.
- 03We may share information if we are legally required to, or where necessary to safeguard a child or player.
How long we keep it
- 01Active player records are kept while you train with us and reviewed each season.
- 02Booking, invoice and development records are kept for a limited period after you leave, then deleted or anonymised.
- 03Past-season records may be archived in summary form for league and coaching records. You can ask us to remove your archived data at any time.
Children's data
- 01Many of our players are children. Intake requires parent or guardian consent before coaching begins, and parents can exercise all the rights below on their child's behalf.
- 02Photo, video and marketing consents are separate, optional and can be withdrawn at any time — withdrawing never affects your coaching.
Cookies & analytics
- 01This site uses only the essential cookies and anonymous analytics needed to keep the app running and to understand how pages are used.
- 02We don't use advertising cookies or build advertising profiles from your data.
Your rights
- 01You can ask to see the data we hold about you, ask us to correct anything inaccurate, or ask us to delete your data. Players can delete their account and data directly from the portal settings.
- 02You can withdraw consent (photos, video or marketing) at any time, and object to processing you're not comfortable with.
- 03To use any of these rights, message us through the contact page. If you're unhappy with our response you also have the right to complain to the Information Commissioner's Office (ICO).
